Effective June 1, 2016, all departments must purchase general office supplies, which includes paper and toner, from The Supply Room Company (TSRC). Non-general office supplies (software, break-room supplies, furniture) may be purchased from TSRC, or they may be purchased from other vendors. Specialty items that are not found in TSRC’s catalog may be purchased from other vendors. However no purchases of general office supplies from any other vendor are allowed.

Guy Brown Office Supplies

We have been working with Guy Brown, one of our office supply contractors, to update certain aspects of its program.  One of these updates is the transition to a new ordering website; another is transition of the payment method from direct bill to an assigned account – to a process by purchasing cards (P card). Please note that Rudolph’s Office Supply contract will remain unchanged.  Our records indicate that you purchase office supplies for your department/unit.   If you currently do not hold a University purchasing card, please discuss this change in payment method with your supervisor to determine if you need to apply for one.   The application is located online by clicking forms in the menu on your left and then clicking all forms. The Cardholder Agreement Form can be found in the Purchasing Card section of the list.  Instructions for completing the form and online training are included on the cover memo of the cardholder agreement.  The  transition date will be January 21, 2015.  Note that it takes between 5 and 7 days to receive a purchasing card under normal circumstances.  Please take this into consideration when processing your request.     In the interim, should you have any questions or concerns regarding this change, please feel free to contact Stores at 301-405-5853 / stores@umd.edu

Do I have to purchase break-room (coffee, candy, paper plates, plastic utensils, etc.) and cleaning supplies through this contract? The intent in establishing this contract is to cover the purchases of general office supplies. Break-room supplies such as coffee, candy, food, paper plates, plastic utensils, paper towels, napkins, and cleaning supplies may be purchased from TSRC, or they may be purchased from another source (grocery store, drug store, Wal-Mart, etc.).

To ensure that departments receive the lowest and most accurate prices on their products, please be sure to update the prices of all Guy Brown items contained in your Favorites list. If you currently have copy paper items from Guy Brown in your eProcurement Favorites list, please remove and replace with selections from American Paper & Twine’s linked catalog site.

Guy Brown Office Supplies

Beginning Tuesday, April 1, Guy Brown orders for many brand-name printer toner cartridges and various general office supplies will be fulfilled with equivalent but lower-cost products. For example, most original equipment manufacturer toner cartridge orders will be fulfilled with comparable re-manufactured toner cartridges. This change supports Vanderbilt’s ongoing efforts to lower costs while enhancing sustainability efforts by using recycled products.

Over the past several months, the university has been engaged in sourcing and negotiation efforts to obtain the best possible combination of pricing and service for the entire Vanderbilt University community. As a result, a contract was awarded to Guy Brown for printer ink and toner cartridges and general office products, including selected categories of office furniture, and a separate contract was awarded to American Paper & Twine for copy paper.

Through a new partnership, Staples will now fulfill Guy Brown office supply orders, Vanderbilt Procurement has announced. In addition, Vanderbilt leadership approved two important changes to procurement policies, outlined below, to support cost savings and sustainability efforts at the institution.

I found the same office supply item at a lower price through another office supply vendor. Can I buy it from the other office supply vendor? No. No purchases from any other office supply contract and/or vendor are allowed. Pricing was negotiated based on VCU’s aggregate spend, not by line item. University Purchasing encourages departments to purchase off the Core Item list whenever possible. Also, TSRC offers generic brand items as part of this contract. Purchasing encourages departments to ask their sales representative for more information regarding the generic brand items and purchase the generic brand whenever possible for further cost savings. TSRC, when possible, will try to accommodate price matching.

To showcase these new programs and many new products and services now available to us, Procurement Services is sponsoring an Office Supplies Expo from 11 a.m. to 2 p.m. Wednesday, July 25, in the Light Hall lobby. The expo also will feature refreshments offered by some of Vanderbilt’s approved caterers.

My department currently has Dell printers which require Dell toners. Can I purchase the toners from Dell? If your department has a model which requires Dell toners, then you may purchase through Dell. However, many Dell printers now work with substitute brand toners. If your department has a model that has substitutes available through TSRC, you should purchase through the office supply contract. Departments can check to see if substitute toners are available on TSRC Punch-Out catalog and website.
